Required skills:
- 3+ years of experience as an Executive Assistant, Administrative Assistant, or similar role.
- Advanced English (C1 or C2).
- Strong written and verbal communication skills.
- Exceptional organizational and time-management abilities.
- Proficiency in Google Workspace / Microsoft Office.
- Ability to work independently, prioritize effectively, and manage multiple tasks simultaneously.
- High level of discretion, integrity, and professionalism.
Nice to have:
- Experience in high-growth, fast-paced environments.
- Familiarity with CRM tools and productivity platforms (Slack, Notion, Asana, Monday, etc.).
- Knowledge or hands-on experience with Amazon Seller Central, including listing management, order review, and basic reporting — a strong advantage.
- Bachelor’s degree.
Scope of work:
Our client is seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide direct support to the executive team. This role requires exceptional communication skills, strong judgment, the ability to prioritize in a fast-paced environment, and a high level of confidentiality. The ideal candidate is resourceful, solutions-driven, and able to anticipate needs before they arise.
Executive Support:
- Manage and optimize executives’ calendars, appointments, and daily schedules.
- Coordinate travel arrangements, accommodations, itineraries, and expense reports.
- Prepare executive-level communications, presentations, and meeting materials.
- Screen, prioritize, and respond to emails and calls on behalf of executives.
- Anticipate executive needs and ensure all logistical aspects are handled proactively.
Operations & Coordination:
- Organize and prepare for meetings including agenda creation, document distribution, and follow-up on action items.
- Maintain organized filing systems (digital and physical), databases, and company documentation.
- Coordinate cross-departmental communication and serve as a point of contact for internal and external stakeholders.
- Assist in onboarding processes for new staff, vendors, or partners as needed.
Project & Task Management
- Support executive-level projects and track progress on key strategic initiatives.
- Conduct research, compile data, and create detailed reports and summaries.
- Manage special projects with minimal supervision and deliver results on tight timelines.
Confidentiality & Professionalism
- Handle sensitive information with absolute discretion.
- Maintain a high level of professionalism and represent the executive team with confidence and tact.
